The receipt desk for accounting firms in Malaysia.
AccPilot takes the receipts, invoices and bank statements your clients send, reads every one, matches them to the bank statement, and hands your firm one clean Excel for any accounting software. The documents stay stored and searchable for 7 years.
Who we are
AccPilot is built by AccPilot Software, registered in Malaysia with the Companies Commission (SSM) under Registration No. 202603238184 (003886868-X). We are a small team in Penang.
AccPilot is built for accountants and accounting firms. We started with the work every firm in Malaysia knows: a client's receipts arriving in one bag, staff sorting them by month, gluing the slips onto A4, photostatting the thermal ones before they fade, keying every line into the accounting software, filing the folders for 7 years, and then digging through the boxes when the auditor or LHDN asks for one invoice. AccPilot exists to take that work off the firm's desk.
What AccPilot does
Three jobs, for the whole firm:
- Capture and read. Documents come in by web upload (up to 50 files at a time), a photo from the phone, email, or an upload link the firm sends its clients. A photo with several receipts is split into separate documents, and multi-page PDFs are handled page by page. AccPilot reads the vendor, date, amounts, tax and the individual lines, and marks each document Ready or Check, with the reason. It remembers how each supplier was posted, so the next one from the same vendor is quicker.
- Reconcile and find what's missing. Bank statement lines are matched to documents. The lines with no receipt become a chase list you can send the client.
- File and find. Your staff check and confirm, then export one self-describing Excel that imports into whatever accounting software the firm runs. Every document stays searchable by vendor, date and amount for 7 years.
What AccPilot does not do
We would rather you hear this from us than find out after signing up.
- It does not post directly into any accounting package. The Excel export is the hand-off, and your books stay in your own software.
- It does not issue e-invoices or connect to MyInvois. That stays in your accounting software.
- It does not take documents in through WhatsApp.
- There is no self-serve card payment yet. Plans are billed monthly or yearly, invoiced and paid by bank transfer, and the way in is a free demo.
How documents are kept
- The documents belong to your firm. We process them only to provide the service to you, and we do not sell personal data or use your documents for advertising.
- Stored for 7 years from upload, the period Malaysian tax law asks business records to be kept.
- Where: the web app and its database run in Singapore. Some of our service providers process data in other countries, as listed in the privacy policy.
- Protection: connections are encrypted in transit, each firm's data is kept separate from every other firm's, access inside a firm is controlled by roles, two-step sign-in is available, and changes to documents are recorded in an audit trail.
The full detail, including every provider we use, is in the privacy policy and the terms of service.
How we write and check our guides
The guides on our blog are written by the AccPilot team for accountants and accounting firms in Malaysia. They are practical notes on the work around receipts and records, not tax or legal advice.
- Sources. Every rule, rate, threshold and date comes from the official source and is linked in the post: LHDN (hasil.gov.my), the Royal Malaysian Customs Department (mysst.customs.gov.my), SSM, and the Acts and gazetted orders themselves. Where an official page and the law disagree, we follow the law and say so.
- No made-up numbers. Worked examples use made-up clients and say so, and the arithmetic is checked. We do not quote studies, surveys or customers we cannot point to.
- Dates. Posts that depend on rules carry a "last checked" date. When a rule changes, we update the post and its updated date. We do not change the date without changing the content.
- About AccPilot itself. Each guide ends with a short note on where AccPilot fits. It only describes what the product does today, and says what stays your firm's judgement.
