The receipt work, off your firm’s desk.
Your clients still send the bag of receipts. AccPilot reads every one, sorts it by client and month, matches it to the bank statement and hands your staff one clean Excel to import. Your staff check instead of key in.

The month every firm knows
A client drops off a plastic bag, or sends forty photos one by one. Someone at your firm sorts the slips by month, glues the small ones onto A4, photostats the thermal ones before they fade, then keys every line into the accounting software. At year-end the bags come in all at once, and the OT starts.
Then the paper has to be kept for 7 years. And one day the auditor or LHDN asks for a single supplier invoice from three years ago, and someone spends the afternoon in the store room.
None of that work is accounting. It is the work before the accounting. That is the part AccPilot takes off your desk.
What does AccPilot change in a firm’s month?
It takes over the work before the accounting: getting documents in, sorting, keying, checking, finding missing receipts and filing. Your staff check and confirm instead of typing, and the books stay in your own accounting software.
| The job | The manual way | With AccPilot |
|---|---|---|
| Getting documents in | Bags of paper, photos one by one, attachments in five places | Upload up to 50 files at a time, snap with a phone, forward by email, or send the client your upload link |
| Sorting | Spread on the table, sorted by month by hand | Every document read and dated; one photo with several receipts split into separate documents |
| Keying in | Vendor, date, amount, tax and lines typed one by one | Read for you, with a suggested account; your staff check and confirm |
| Checking | Hope nobody mistyped | Every document marked Ready, or Check with the reason |
| Missing receipts | Noticed at year-end, if at all | Bank statement lines matched to documents; what’s missing becomes a chase list |
| Into the books | Re-typed into the accounting software | One clean Excel your accounting software imports |
| Keeping and finding | Glue, photostat, lever-arch files, a store room | Originals in one envelope a month; the clear copy searchable by vendor, date and amount for 7 years |
Does AccPilot post anything into the books by itself?
No. AccPilot does not post anything into your books by itself. Every document is checked and confirmed by your staff before it is exported. Faded, blurred or handwritten receipts are marked Check so a person looks at them, instead of a guessed number going into the accounts. The posting decisions, the questions to the client and the sign-off stay with your firm.
AccPilot also remembers how each supplier was posted before, so the second bill from the same vendor needs less checking than the first.
Do clients have to learn anything?
No app to install. A client can email the receipts, or open the link your firm sends and upload what you asked for. If a client still hands over a bag of paper, your staff snap the receipts on their behalf. See how to get client receipts without the monthly chase.
Do you still need to keep the paper originals?
Keep them. LHDN’s guidance for companies asks for original source documents to be kept where the books are on computer, and SST-registered clients must keep paper records in their original form. What the rules do not ask for is the glue, the A4 and the photostat. Put each month’s originals in one envelope and work from the clear copy in AccPilot. The detail is in how long to keep receipts in Malaysia and do you still need to glue receipts on A4.
Which firms is AccPilot for?
- Sole practitioners and small firms with a handful of clients and a monthly pile that eats the weekend.
- Growing firms where the juniors spend most of the day keying, and the year-end rush decides how many clients you can take on.
- Firms on any accounting software. AccPilot does not plug into a package or replace it. The Excel export is the hand-off, so you keep the software you run.
Pricing is per receipt, not per client: one receipt is one credit, pooled across your whole firm, and plans are billed monthly or yearly.
